Donor Manager Position Description

Mission: To follow the job responsibilities to the highest degree of ethics and integrity to achieve the KSDS
Assistance Dogs, Inc. mission of providing professionally trained guide, service, and facility dogs for people in
need of a canine partner to enhance their independence, to fully function in society, and/or to enrich their
professional career responsibilities with the ongoing support of our trainers to ensure proficient working
partnerships.

Supervision: Reports to the CEO who reports to the Board of Directors

General Job Responsibilities:
• Maintain accurate and confidential records which are pertinent to KSDS Assistance Dogs, Inc.’s success
• Remain current and updated on disability issues, ADA guidelines, and accounting issues related to
nonprofit organizations
• Be willing to travel on approved outings and participate in required continuing education (CE) programs
approved by the KSDS Assistance Dogs, Inc. Board of Directors, and/or the CEO
• Sign a “Do Not Compete” statement with KSDS Assistance Dogs, Inc.
• Provide quality service to KSDS Assistance Dogs, Inc.’s students and their families
• Agree to maintain a continuing commitment to confidentiality, courtesy, and professionalism

Specific Job Responsibilities: Donor Manager
• Write thank you notes/tax receipts for donations made to KSDS, as needed, and utilize electronic Customer Relations Management tools to communicate with donors
• Manage and maintain accurate, up-to-date donor information in Matchmaker
• Educate KSDS personnel on how to use Matchmaker
• Visit with each graduate regarding the writing of thank you notes and their personal narrative
• Prepare and send a “Welcome Packet” to prospective donors and coordinate follow-up communications
• Write content and produce newsletters/large mailings, and ensure mailings are post office compliant

Knowledge, Skills and Abilities:
• College Degree preferred or equivalent work experience
• Exceptional people skills and pleasant demeanor towards co-workers and the public
• Must have strong communication and organizational skills
• Must be detail-oriented and have a commitment to accuracy
• Willing and able to meet various deadlines throughout the course of the year
• Must display competence using Microsoft Office applications, database management, and electronic
communications
• Possess knowledge of workings of a nonprofit organization
• Must have a valid driver’s license
• Knowledge of assistance dog laws, rights, access rights, and related information

Job Specifications:
• Position status as full time/part time will be determined by experience and qualifications. Position is
hourly, compensation is dependent on experience, full time has benefits included. Work location is the
KSDS administration building.

Grant Writer Position Description

Specific Job Responsibilities: Grant Writer
• Responsible for conducting the full range of activities required to prepare, submit, and manage grant
proposals to foundation/corporate sources
• Perform research on foundations/corporations to evaluate prospects
• Gather information necessary to report to funders on current and/or completed grant programs
• Comply with all grant reporting as require by foundation/corporate funders
• Coordinate arrangements for on-site visits and tours for foundation/corporate funders when appropriate
• Maintain current records in MatchMaker database and in paper files, including grant tracking and
reporting through Matchmaker

Knowledge, Skills and Abilities:
• College Degree preferred or equivalent work experience
• Must have strong communication and organizational skills
• Ability to write clear, structured, articulate, and persuasive funding proposals
• Must be detail-oriented and possess strong editing skills
• Willing and able to meet various deadlines throughout the course of the year
• Possess some knowledge of foundation/corporate grant programs and nonprofit organizations
• Must display competence using Microsoft Office applications (Word, Excel, Outlook, etc)
• Must have a valid driver’s license
• Knowledge of assistance dog laws, rights, access rights, and related information

Bookkeeper Position Description

Specific Job Responsibilities: Bookkeeper
• Assist with processing any employee paperwork related to salary and benefits
• At the direction of the CEO, handle any workmen’s comp disability claims and paperwork
• Prepare checks for payment of approved bills and ACH files for processing
• Reconcile and balance all asset and investment accounts
• Data entry of financial records in QuickBooks
• Prepare monthly payroll, payroll reports, monthly financial board reports and all year end reports
• Coordinate audit activities, audit recordkeeping and preparation of income tax return
• Review new laws/rulings and legal recommendations related to the operations and accounting processes

Knowledge, Skills and Abilities:
• College Degree preferred or equivalent work experience
• A minimum of three (3) years of experience in accounting and knowledge of nonprofit organizations
• Must have strong communication and organizational skills
• Must be detail-oriented and have a commitment to accuracy
• Willing and able to meet various deadlines throughout the course of the year
• Must display competence using Microsoft Office applications, electronic communications and
QuickBooks or related financial programs
• Must have a valid driver’s license
